About the Role
We are seeking a sharp, reliable, and professional Executive Administrative Assistant to serve as the right hand to a seasoned real estate owner managing a diverse property portfolio across Colorado. This is a hands-on role that blends executive support, logistics, technology management, and property administration into one position.
The ideal candidate is a finisher -- someone who takes pride in accuracy, professional presentation, and driving every task to 100% completion. You will be the owner's primary link to technology and the operational glue that keeps the day running smoothly.
Key Responsibilities
Logistics & Executive Support
- Provide reliable daily transportation for the owner between his residence in southeast Aurora and the office or property sites across the Denver metro area.
- Drive the owner to meetings with attorneys, architects, bankers, and other professionals.
- Attend high-level meetings and take detailed notes, then distill complex discussions into clear, actionable summaries and task lists.
Technology & Digital Operations
- Serve as the owner's technology liaison, managing all email (Outlook), file management (Dropbox), and spreadsheet (Excel) tasks on his behalf.
- Quickly locate digital files, past correspondence, notes, or research data on demand.
- Draft professional letters, memoranda, and property-related communications.
Property Administration
- Post available units online, manage leasing inquiries, process applications, and prepare lease documents.
- Maintain an updated vendor and contractor list; schedule repairs and follow up through completion.
- Provide the owner with regular status updates on all property activities.
Financial Administration
- Receive and log rent payments with precise detail (amount, date, unit) for the accounting team.
- Conduct physical bank deposits.
- Organize incoming invoices and receipts for accountant review.
Requirements
- Professional Presence: You will regularly attend meetings with attorneys, executives, and financial professionals. A polished, professional appearance is expected.
- Clean Driving Record: A valid driver's license and a reliable, presentable vehicle are required. Transporting the owner is a core function of this role.
- Advanced Tech Proficiency: Expert-level skills in Microsoft Word, Excel, and Dropbox are non-negotiable. Comfort learning new platforms quickly is a plus.
- Strong Communication: Excellent writing and verbal skills with the ability to build rapport across a range of professionals, vendors, and tenants.
- Dependability: Regular, on-time, in-person attendance is an essential function of this position. Remote work is not available for this role except by specific owner authorization (maximum one day per week with prior approval).
